JOB DESCRIPTION

The American Indian College Fund (the Fund), a national, non-profit organization headquartered in Denver, Colorado is seeking a Project Administrator. Created in 1989 to support America’s tribal colleges and universities, the Fund undertakes various fundraising activities on behalf of the nation’s tribal colleges.

POSITION TITLE: Project Administrator
DEPARTMENT: Projects
STATUS: Full-time (exempt)
SUPERVISOR: Project Officer

POSITION SUMMARY
This position is primarily responsible for supporting the Project Officer in administering a complex five-year $15 million grant program to build intellectual capital at 33 tribal colleges and universities (TCUs) that ends in September 2012. The project is in year four. The architecture of the project is comprised of a four-tiered award schedule, payable annually (2007-2012). A supplemental project is designated for six projects to enhance their original programs. A second supplemental project provides for professional development to the 33 presidents at TCU funded under the grant. The position has direct responsibility for administering portions of the grant activity, including a special scholars program and the initiative to provide professional development resources to tribal college presidents.

ESSENTIAL FUNCTIONS

• Develops and implements grant management and documentation practices and procedures.
• Manages timelines to meet established project objectives.
• Communicates project information to and assists the tribal colleges with any needs and questions related to the grant.
• Assists Project Officer in reviewing TCU project reports, analyzing results, evaluating progress and in documenting project accomplishments.
• Tracks and monitors the biannual interim budget reports received from the TCU projects.
• Maintains electronic and paper files for project accountability and reporting purposes.
• Provides editorial assistance to Project Officer for biannual donor reports and the final project report.
• Administers annual award disbursements to TCU projects, supplemental awardees, and president professional development awards.
• Works with Foundations and Scholarships Departments in developing a plan for supporting and tracking progress of scholars funded by the grant.
• Assists with Special Events Coordinator to plan, structure, market and implement a final project meeting in year five of the project.
• Arranges travel and prepares documentation for Fund staff to all site visits to TCUs.
• Tracks and analyzes project expenses to ensure efficiency and accountability.
• Responsible for disseminating information about project administration for fundraising and public education purposes.
• May be required to travel to the tribal colleges as needed and within project budgets for project purposes.
• Other administrative duties as assigned.



REQUIREMENTS
• Bachelor’s degree.
• Experience in higher education and with American Indian culture, education and communities.
• Knowledge of grant management and reporting processes.
• Demonstrated ability and experience in writing high level technical reports.
• Excellent organizational skills and attention to detail.
• Demonstrated business communication skills.
• Good presentation and interpersonal communication skills.
• Incumbent must be able to work independently to design and implement activities associated with various elements of the project.
• Excellent computer and internet research skills.
• Experience with grant budget management and timelines.
• Demonstrated experience in the non-profit organizational sector.
• Ability to work under tight deadlines and on multiple projects simultaneously, with minimum supervision. Attention to and ability to meet deadlines.
• Must be willing to travel.

Additional consideration will be given to candidates with:

• Familiarity with business, accounting, and fundraising practices.
• Familiarity with tribal colleges
